Production Administrative Assistant

The Production Assistant provides administrative support primarily to production/manufacturing areas of the company through various duties, as assigned, and also serves as a backup to other administrative support staff, supporting all functional areas of the company as needed.  The Production Assistant has the ability to multi-task, is competent in the use of computer applications, and can prioritize requests in a calm, professional manner.  The Production Assistant exemplifies the high standard of professional decorum for which the organization strives. 

Key Responsibilities and Purpose

The primary responsibility of the Production Assistant is to provide the necessary administrative support to operational management in a professional manner.  Specific responsibilities include:

  • Updating and analyzing data for reporting purposes; properly directing inquiries, and accurate review.
  • Assisting various operational departments with clerical and support duties, which may include:
    • Document scanning
    • Updating and linking photos into the ERP system
    • Adding notes to production prints
    • Printing job travelers
    • COC submissions
    • PIP input
  • Updating information into the ERP system, including, but not limited to, preventative maintenance schedules, inventory, and work center information and changes.
  • Assistance with various special projects, including, but not limited to, working with production supervisors and CMSI staff to compile, document and/or map work instructions for all of our manufacturing processes.
  • Running errands, using personal vehicle with mileage reimbursement, as needed
  • Serving as backup to other administrative team duties; which could include, but are not limited to, answering 6-line telephone system, appointment and calendar scheduling, sorting, filing and maintaining records.
  • Serving as backup to other administrative team members through assisting various departments with meeting and event planning and preparation; including agenda preparation, taking meeting notes, preparing handouts, servicing audio-visual needs, and ordering of meals and/or catering, as required.


  • Minimum high school diploma or GED
  • Associate’s Degree in Business Administration or similar area of study preferred.


A minimum of one year of experience as an Administrative Assistant in a production/manufacturing environment is preferred.
